Brand guidelines for machines: what an AI-ready brand system contains

Brand guidelines were written for designers. Today machines do half the work, and nobody briefed them.

Why PDFs stopped working

A traditional brand book assumes a designer will read it, interpret it and apply it. But your team now writes posts in ChatGPT, generates images in Midjourney and drafts proposals with Claude. None of those tools have read your guidelines. So every output starts from a blank prompt and drifts a little further from your brand.

The machine edition

An AI-ready brand system keeps the human guidelines, and adds a second edition written for machines:

  • A fact register. Approved facts, numbers, customers and claims - the only material AI is allowed to use.
  • Positioning and voice rules. The one sentence, the audiences, words you use and words you never use.
  • Banned claims. What you must never say, from legal limits to off-brand promises.
  • Prompt kits. Tested prompts for recurring jobs: sales emails, LinkedIn posts, case studies, proposals.
  • Image style references. So generated imagery looks like your brand, not like stock.
  • Brand QA. A check that reviews any copy or visual against your rules before it ships.

Where it lives

The best place for all of this is a Brand OS portal on your own domain: assets, templates, rules and the AI kit in one living place. Nobody asks for the latest logo again, and every AI tool can be pointed at the same source of truth.
